Refund & Cancellation Policy

At Epiqu Digital Solutions, our goal is to build exceptional digital assets that deliver measurable value. Because custom engineering and design involve dedicated technical hours and strategic resource allocation, we operate under clear milestone-based refund and cancellation guidelines.

1. Custom Web Development & Software Projects

Fixed-scope projects (websites, online stores, web apps) are partitioned into clear approval milestones:

• Discovery & Strategy Phase: If a client requests cancellation before design wireframes or code work commences, the deposit is refundable minus direct administrative and research expenses incurred (up to 15% of the initial deposit).
• Design & Development Milestones: Once a project milestone (e.g., UI design sign-off, frontend staging build) is approved in writing, payments allocated to that milestone are deemed earned and non-refundable.
• Pre-Launch Stage: Once the complete application is deployed to production or final repository access is delivered, project payments are non-refundable.

2. Monthly Retainers & Maintenance Plans

For monthly digital marketing, SEO, and website care retainers:

• Clients may pause or cancel recurring monthly retainers at any time with a 14-day written notice before the next billing cycle.
• Monthly retainer fees paid for the active billing cycle are non-refundable as technical hours and ad monitoring are executed continuously.

3. Third-Party Costs (Domains, Servers & Licenses)

Direct out-of-pocket expenses incurred on your behalf – such as third-party domain registrations, dedicated server provisioning, SSL certificates, or specialized commercial API keys – are subject to the third-party providers’ own non-refundable terms.

4. Refund Request Process

To request a refund review under eligible circumstances, submit a formal written notice detailing the project reference and reason to hello@epiqudigitalsolutions.com. Approved refunds are processed via the original payment method within 7–10 business days.
